Administrative Assistant –
Office Administration and Invoicing Specialist

Ergosynch, LLC  provides technical consulting services on large infrastructure projects in engineering design  and construction. We are located in Seattle, WA and Los Angeles, CA.

We are currently seeking an experienced Office Administrator for our Seattle office. Successful candidates must have 10 years proven experience in office management including business writing; invoicing; document management; scheduling and coordinating meetings, travel, events and calendars; documenting and distributing meeting minutes; archive and records management, project management and operations support.

Intermediate to advanced level Quickbooks, MS Office Professional and internet a must. Must be extremely organized and familiar with office management principles and document control systems. Architecture/engineering design or construction management experience preferred. The successful candidate has demonstrated success in working with management, independently and in team environments.

Job Description

The primary responsibility of the Office Administrator is to provide operations and project administrative support services for internal and external customers

Responsibilities

  • Create, edit, review and distribute business correspondence, reports, meeting minutes and related business and technical documents.
  • Manage monthly invoicing using Quickbooks.
  • Review and edit reports, manuals and studies.
  • Coordinate and schedule meetings, events, travel and training, as needed.
  • Prepare and make presentations.
  • Take and distribute meeting minutes.
  • File, manage and archive documents.
  • Provide phone and office reception.
  • Support business operations/sales.

Minimum Requirements

A combination of education and experience equivalent to a Bachelor's degree, accepted. Excellent oral, written, and communication skills are a must. Candidate must possess demonstrated knowledge of business writing, administrative procedures, and customer service and event coordination. Successful candidate will possess experience in similar environments.
